Element Science is seeking an exceptionally bright, flexible, poised and self-motivated Office Manager to support our rapidly growing team. - Make the working environment in our San Francisco office productive and comfortable, managing everything from the basics (utilities, mail, working lunch catering, snacks, supplies, swag) to organizing all-hands meetings and team events (happy hours, off-sites)
- Maintain general office appearance and operations, keeping the kitchen and conference rooms presentable, functional, and clean
- Be the office ambassador by answering calls and welcoming guests and ensuring their hosts greet them in a timely manner
- Facilitate work space needs, including maintaining the seating chart, ordering furniture, and assisting with office design as needed
- Support CEO and leadership team helping with scheduling meetings and interviews
- Managing payables, filing and keeping track of invoices, tracking and reimbursing expenses
- Execute the little things that promote positive company culture through employee life events such as birthdays, anniversaries, new additions to the family
- Assist our management team in recruiting scheduling and hosting on-site candidates
- Execute the on-boarding process for new hires including coordinating computer and phone equipment procurement or processing and new hire orientation
- Act as an extra Employee Experience reference point for general questions on holiday schedules, paydays, etc. and manage and execute general staff communication
Required Qualifications
- Bachelor’s degree preferred with 3+ years’ experience as an Office Manager or similar role
- The ability to own, anticipate, drive and balance multiple priorities in a fast-paced environment with diplomacy
- Strong communication skills with employees at every level of the organization, attention to detail, resourcefulness, collaboration, time management, and organization skills
- Have experience with event planning, including parties, corporate events, and employee engagement related activities
- High energy and fantastic attitude; you take pride in creating a fun, productive, and aesthetic environment that inspires and brings teams together
- Exceptionally organized and resourceful self-starter with incredible attention to detail, creative problem solving, and sense of urgency to manage high volume of tasks
- Are entrepreneurial and take initiative – constantly be on the lookout for ways to improve both the office space and employee experience
- Self-starter: you have the experience needed to make an immediate impact with little guidance
- Outgoing and “roll up your sleeves” attitude to get things done quickly without sacrificing quality
- Comfortable using web-based applications such as G-Suite, Box, Slack, etc
